Adding and managing teachers

To add teachers, edit their information, and set tags for them (among other things), click Teachers in the sidebar navigation of your school or district dashboard.

Adding teachers to the roster

One of the first things district and school administrators do is create their roster of teachers and students. There are several ways to add teachers:

  • Using a CSV or XLSX file
  • Adding teachers manually
  • Clever and ClassLink

Using a CSV or XLSX file

This is the fastest way to add teachers if your district or school does not use Clever or ClassLink for rostering. Add your complete teacher list in only a few clicks! A few notes before you begin:

  • If you’re a district administrator, you can only add teachers to one school at a time. If there are four schools in your district, you’ll upload four separate CSV or XLSX documents.
  • As a school administrator within a district using Classcraft, you won’t be able to add teachers, please ask your district administrator to handle rostering.

First, download our CSV template or our XLSX template (whichever works best for you) and fill it as follows:

  • First column: First name
  • Second column: Last name
  • Third column: Email address
  • Fourth column: Tags, if any (separated by semicolons)

Once your file is ready, head over to your dashboard and:

  • Select Teachers in the Users section of the sidebar navigation
  • Click the purple Add teachers button in the upper right corner (if you can’t see this, maybe you can’t add teachers. Try asking your district administrator!)
  • If you manage more than one school select the school you want to add teachers to
  • Click on Upload CSV or Upload XLSX (according to the file type you have created)
  • Drag your file from your computer to the gray area
  • Review the teacher list
  • Click Create teachers to confirm and create accounts for your teachers

Even if you create accounts for your teachers, they won’t receive a confirmation email or be able to log in to Classcraft until the school and teachers have been invited — so there won’t be any surprise!

Adding teachers manually

If you prefer, you can manually enter your list of teachers, but it takes longer than using a file. Consider adding manually teachers who join mid-year. To manually add teachers:

  • Select Teachers in the Users section of the sidebar navigation
  • Click the purple Add teachers button in the upper right corner (if you can’t see this, maybe you can’t add teachers. Try asking your district administrator!)
  • If you manage more than one school select the school you want to add teachers to
    Note: You can later assign teachers to a different school or even to more than one school through your teacher list.
  • Click Add manually
  • Enter your teachers’ first names, last names, and email addresses
    Tip: To go faster, you can copy your teachers’ information from a document. Accepted formats:

  • Click Create teachers to confirm

Even if you create accounts for your teachers, they won’t receive a confirmation email or be able to log in to Classcraft until the school and teachers have been invited — so there won’t be any surprise!

If your district is rostering with Clever or ClassLink, it’s possible for Classcraft to connect directly and use your existing information to create your teacher and student database. As an added benefit, classes will already be partially set up and populated for your teachers.

Because the databases sync daily, you’re sure to have the most accurate portrait of your roster in Classcraft with minimal involvement when using the Clever or ClassLink intervention.

Teacher list

If you have a lot of teachers, you may need to scroll down to see all of them. The main components and functionalities of the teacher list are:

1 . Search

You can search in the list with the search bar, enter at least 3 characters and type Enter to filter the list. You can search using the following options:

  • First or last name: Enter a teacher’s first or last name (or partial name) and hit enter to filter the list
  • Last added: Filter the list to view only the batch of teachers that was last added
  • No tag: Find all the teachers who currently have no tags assigned to them
  • Selected: First, select teachers using the checkboxes, then filter the list to view only the teachers you selected
  • Pending: View teachers who have yet to be invited to play Classcraft
  • Onboarding: View teachers who have been invited and created their accounts but not their first class
  • Pending: View only teachers who have set up their first class and are actively playing Classcraft
  • Tags: Enter a tag name (or partial name) and select it in the options to view all the teachers this tag is assigned to

2. Number of teachers

This line indicates how many teachers there are in your district or school and how many are currently loaded. To view more teachers, scroll down the list and you’ll see the first number increase!

No matter how many teachers are currently displayed, the search function always looks through your whole roster.

3. Select all

You can select all the teachers in your roster (or all of the teachers currently displayed in the filtered list), by clicking on the checkbox in the header.

mceclip4.png When the checkbox is checked, all teachers in the list are already selected. Click on the checkbox to unselect all teachers.

mceclip5.png A gray line in the checkbox indicates that a part of the teachers are already selected. Click on the checkbox to select all teachers.

Click on the checkbox on a teacher’s line to select them.

Teachers can upload a profile picture on their profile. This displays the picture they chose or the default image.

7. Tags

You can add tags to teachers to mark teachers as part of specific groups. All tags assigned to a teacher are visible on the teacher list.

If you can’t see all of a teacher's tags, click on the last +x tag at the end to view the complete list.

Multiple teacher management

Select one or more teachers by clicking on their checkboxes on the teacher list to view management options on the righthand side panel.

Note: This is different from clicking on a teacher’s name where you’ll instead view their profile on the righthand side panel.

1. Number of teachers you selected

While this panel is active you can select and deselect teachers from your list. This indicates how many teachers you selected and how many are in the roster.

2. View selected teachers

Filter the list on the lefthand side of the screen and view only the teachers you selected.

3. Change tags

You can assign and unassign tags for selected teachers.

mceclip4.png When the checkbox is checked, the tag is assigned to all the teacher selection. Click on the checkbox to unassign the tag for all selected teachers.

mceclip5.png A gray line in the checkbox indicates that this tag is already assigned to some of the selected teachers. Click on the checkbox to assign it to all teachers.

If you want to assign selected teachers a tag that doesn’t exist yet, type its name in the text field and click the purple Create new tag button.

Then, assign this tag to your teachers from the tags list. Learn more about managing tags here.

4. Remove

Removing a teacher from your organization is a permanent action. Consider removing a teacher when they completely leave an organization (if they now teach in another school in your district, consider using the Change school option).

If you're part of a district that's playing Classcraft, ask your district administrator to remove teachers when needed.

  1. In the teacher list, select one or more teachers
  2. Click the Remove button in the righthand side panel
  3. Check the checkboxes to confirm that teachers will be removed from tag groups and their classes
  4. Click Remove to confirm
  5. Click Ok to return to the teacher list

Teacher profile

Select any teacher on the list to view their profile on the righthand side panel, which looks something like this:

  1. Teacher name
  2. View previous teacher on the list
  3. View next teacher on the list
  4. View more options: Change tags, Manage schools, Remove
  5. View user profile (currently shown)
  6. View classes

User profile

The user profile provides information about a teacher such as their name, email address, etc. To view any teacher’s user profile:

  1. Click Teachers on the sidebar navigation
  2. Select any teacher in the list and click on their name
  3. Click on the User profile tab if you’re not already viewing it

On the user profile, you can find the following information:

1. First name

Click on this field to edit your teacher’s name. When you’re done, click outside the field or the checkmark to save.

2. Last name

Click on this field to edit your teacher’s name. When you’re done, click outside the field or the checkmark to save.

3. Teacher password

To edit a teacher’s password, click on the pencil icon and enter the password in the field that appears. When you’re done, click outside the field or the checkmark to save.

4. Email address

Click on this field to edit your teacher’s email address. When you’re done, click outside the field or the checkmark to save.

5. Office

Click on this field to edit your teacher’s office. When you’re done, click outside the field or the checkmark to save.

6. Phone number

Click on this field to edit your teacher’s phone number. When you’re done, click outside the field or the checkmark to save.

7. School(s)

This is the school or schools a teacher is currently assigned to. To change the schools this teacher is assigned to:

  • Click the More options ... button in the user profile
  • Select Manage schools
  • Check the school or schools this teacher is supposed to be assigned to
    Note: If you unassign a teacher from a school they're currently assigned to, student characters will be archived unless the students are in another teacher's class. This action can't be undone.

Classes

This tab lists all the classes created by the teacher along with the grade(s) by school they're assigned to, as well as the School Kit assigned to each class. As an administrator, you can:

  • Manage grades assigned to this class
  • Assign new students to an existing class, which opens your student database so you can select and add students
  • View Multi-Class information

Tags

Tags enable you to create groups of teachers. Only you and other administrators can see these tags. This can help you create groups with specific needs among your teachers.

While you may also assign tags to students, the teacher tags list and the student tags list are completely separate.

Manage tags

As a district or school administrator you can create, edit, and delete tags that are assigned to teachers.

  1. Click Teachers in the lefthand sidebar navigation
  2. Click the Manage tags button in the top right corner

As a school administrator, you won’t be able to access tag management if your school is part of a district that plays Classcraft.

All tags that were already created for this district or school can be found in this list. Here, you can:

  • Create a new tag by typing its name in the field and clicking the checkmark to confirm
  • Edit a tag by clicking the pen icon, making changes in the field, and clicking the checkmark
  • Delete a tag by hovering over it and clicking the red trashcan icon. Click Delete to confirm.
  • Delete all existing tags with the Delete all button — perfect for end of year cleanup!

When you’re done managing your tags, click the Done button to return to the students list.

Change tags

You can modify tags assigned to one or more teachers as you’re managing your teacher list. To do so:

  1. Select one or more teachers from the list
  2. Click the More options (...) button if you selected only one teacher
  3. Select Change tags

Here, the district tags are displayed. The ones assigned to the teacher you’re viewing are checked.

  • Check the tags you want to assign to this teacher
  • Uncheck the ones you want to unassign
  • Enter a tag name to find it on the list

If you enter the name of a tag that does not exist, you may be able to add it to the list. To do so, click the purple Create new tag button. This may not be possible for school administrators in districts that use Classcraft.
