Managing students in your school

If your district is playing Classcraft, you may not be able to use all the student management features. Learn more about it here.

You can manage your school’s students from your School Dashboard by clicking on “Students” in the lefthand sidebar, under “Users.” This will display your whole student list. Here, you can:

Add students

To add students to your school roster, click on the green “Add Students” button. You can choose to add students manually, upload a CSV or a XLSX file, or add students from a teacher’s own class roster.

Upload CSV or XLSX document

You can upload a CSV or XLSX file containing your students’ names and labels. Labels are not necessary but can help you organize students at your school.

You can use our CSV template to make sure that your template is formatted correctly. You should use one row per student. Include the following information for each student:

  • First column: First name
  • Second column: Last name
  • Third columnEmail address (optional)
  • Fourth column: Labels separated by a semicolon (;) (optional)

Here are examples of correct entries:

Upload the CSV or XLSX file and click on “Create Students” to add the students to your database.

Add from teachers

You can add students created by the teachers in your school. In this list, you’ll see the names of the students and teachers. Select the students you want to add from the list of students and click on the “Add Students” button.

Add manually

To add students manually, input their first name, last name, and email address (optional). If you need more lines, click on “Add more.” Once you’ve input all new student names, click on “Create Students.”

View and edit student profiles

Click on a single student name to view their profile. Then you can click on the “...” icon to open the submenu to add or remove labels or remove the student from your school (see below). You can use the arrows left and right of the student name to switch to the next or previous student.

The profile view is split into the user profile and the character profile.

User Profile

In the user profile, you’ll find all the information related to the student. This is where you’ll see their first name, last name, and username. You can edit any of these fields by clicking on the text or the empty text field. When you’re done editing, click on the checkmark on the right side of the field to confirm. If you want to edit a student’s password or email address, click on the pencil icon beside the password field and input a new one.

You’ll also see if any parent account is linked to this specific student. Finally, you can see the teachers the student has and the classes they attend (as well as their class codes). You can generate a new class code if needed by clicking on the round arrow symbol.

Character profile

On a student’s character profile, you can view, edit (changing their class and their appearance), and archive their character, and see which classes the character’s used in.

Manage your student list

On this screen, you can add labels to your students, archive their character, or remove them from your school. You’ll first need to select the students by clicking on the checkbox beside their name. You can scroll down the list to find specific students or use the search bar at the top to search by student name, label, or teacher name. You can also filter the list using pre-existing options (Last added, No label, Selected, Playing, and Not Playing).

Change Labels

You can select a label from the list of existing labels for your school, or you can type in the text box to create a new one.

Click on the label checkbox to add or remove the labels from the students you selected. If the checkbox is empty, you can add it to all the students selected. If the checkbox has a green “x,” all the selected students already have this label assigned. Unchecking the checkbox will remove the label from all the students. If there’s a gray “-” sign in the checkbox, only certain students have been assigned this label. In that case, you can click on the checkbox to apply the label to all students.

Once you have selected your labels, they’ll immediately be applied to the students. You can remove a label from a student by clicking on the “x” in the label tag, directly in the student list:

Note: Teachers and students don’t share the same label list.

Archive Characters

When a student is done playing for the year, you may archive their character so that they can play again next year.

Before you archive a student’s character, you’ll need to confirm your action. Once you click on the checkbox, the “Archive” button will become visible:

To unarchive a student, you’ll need to find them in the student list, click on the “Hall of Heroes” button, select the archived character, and click on “Unarchive.” Confirm to bring the character back in play. You can learn more about why and when you should archive students’ characters here.

Remove Students

When a student is no longer part of your school, you can choose to remove them from your student list. This action is irreversible. The characters will be removed from their classes. You’ll need to check the two checkboxes to confirm your action before being able to click on the “Remove” button:

Manage labels

When you click on the “Manage Labels” button, you’ll see the list of labels available for your school. You can delete a label by hovering your cursor over the label icon on the list. A red trashcan icon will be displayed; click it and confirm to delete the label:

You can create a new label by inputting its name in the “Create new label” text box and clicking on the checkmark once you’re ready.

Finally, you can edit a label’s name by clicking on the pencil icon on the right side.

Note: Teachers and students don’t share the same label list.
