Managing students in your organization

You can manage your organization’s students from your School Dashboard by clicking on the “Your Students” icon in the sidebar. When you click on the button, the full student roster for your organization will be displayed. You can add students, manage students, and manage labels in this section.

 

Adding students

To add students to your organization, click on the green “Add Students” button. You can choose to add students manually, to upload a CSV file, or to add students from a teacher’s own class roster.

  • Add Students Manually: To add students manually, input their first name and last name. If you need more lines, click on “Add more.” Once you’ve input all new student names, click on “Create Students.” 
  • Upload CSV: You can upload a CSV file containing your students’ names and labels. Labels are not necessary but can help you organize students at your school. 

    You can use our CSV template to make sure that your template is formatted correctly. You should use one row per student. Include the following information for each student:

    First column: First name
    Second column: Last name
    Third column: Email address (optional)
    Fourth column: Labels separated by semicolon (;) (optional)

    If you’re using Microsoft Excel, you may need to import your file and define the delimiter. Find out how here.

    Here are examples of correct entries:

    Once your CSV file has been uploaded, click on “Create Students” to add the students to your roster.
  • Add from Teacher: You can add students created by the teachers in your organization. In this list, you’ll see the names of the students and teachers. Select the students you want to add from the list of students and click on the “Add Students” button.

  

Viewing student profiles

By clicking on a single student name, you’ll view their profile. With the buttons at the top of the student profile, you can add labels, archive the student’s character, or remove the student from your organization (see below). You can use the arrows left and right of the student name to switch to the next or previous student.  

The profile view is split into the user profile and the character profile:

  • User Profile: In the user profile, you’ll find all the information related to the student. This is where you’ll see their first name, last name, username, and email address. You can edit any of these fields by clicking on the text or on the empty text field. When you’re done editing, click on the checkmark on the right side of the field to confirm. If you want to edit a student’s password, click on the pencil icon beside the password field and input a new one.

    You’ll also see if any parent account is tied to this specific student. Finally, you can see the teachers the student has and the classes they attend (as well as their class codes). You can generate a new class code if needed by clicking on the round arrow symbol.

  • Character Profile: On a student’s character profile, you can view the student’s character, edit their character (changing their class and their appearance), archive their character, and see which classes the character’s used in.

Managing students

On this screen, you can add labels to your students, archive their character, or remove them from your school. You’ll first need to select the students by clicking on the checkbox beside their name. You can scroll down the list to find specific students or use the search bar at the top to search by student name, label, or teacher name.

  • Add Labels: You can select a label from the list of existing labels for your organization, or you can type in the text box to create a new label.

    Click on the label checkbox to add or remove the labels from the students you selected. If the checkbox is empty, you’ll be able to add it to all the students selected. If the checkbox has a green “x,” it means that all the students selected already have this label assigned. Unchecking the checkbox will remove the label from all the students. If there’s a gray “-” sign in the checkbox, it means that only certain students have been attributed this label. In that case, you can click on the checkbox to apply the label to all students.

Once you have selected your labels, they’ll immediately be applied to the students. You can remove a label from a student by clicking on the “x” in the label tag, directly in the student list:

Note: Labels for students are different from labels for teachers.

  • Archive Characters: When a student is done playing for the year, you may archive their character so that they can play again next year. To unarchive a student, you’ll need to find them in the student list, click on the “Hall of Heroes” button, select the archived character, and click on “Unarchive.” Confirm to bring the character back in play. You can learn more about why and when you should archive students’ characters here.

    Before you archive a student’s character, you’ll need to confirm your action. Once you click on the checkbox, the “Archive” button will become visible:

  • Remove Students: When a student is no longer part of your organization, you can choose to remove them from your students list. This action is irreversible. The characters will be removed from their classes, and the students will be removed from your organization. You’ll need to check the two checkboxes to confirm your action before being able to click on the “Remove” button:

Managing labels

When you click on the “Manage Labels” button, you’ll see the list of labels available for your organization. You can delete a label by hovering your cursor over the label icon on the list. A red trashcan icon will be displayed; click it and confirm to delete the label:

You can create a new label by inputting the label name in the “Create new label” text box and clicking on the checkmark once you’re ready.

Finally, you can edit a label’s name by clicking on the pencil icon on the right side.


Note: Labels for students are different from labels for teachers.
